Barcoding’s customer, a distributor, had purchased 500 mobile devices for use across its 10 warehouse locations.
Corporate IT is responsible for return merchandise authorizations (RMAs), as well as maintaining asset inventory, device replenishment, and management of service contracts.
Devices were tracked using a combination of spreadsheets and checklists, and employee device check-ins and check-outs were tracked using clipboards at warehouse locations. Employees were using email addresses and passwords for device check-ins and check-outs.

Because corporate didn’t have visibility into IT assets across 10 locations, each warehouse was expected to update device inventory spreadsheets and share with corporate IT on a weekly basis. But the spreadsheets weren’t reliably accurate or up-to-date; often, corporate IT didn’t even receive them. Without proper tracking and automated reporting, IT had no way of knowing when locations needed device replenishment.
RMAs were tracked on spreadsheets and required multiple calls with the device manufacturer to complete each request. That unnecessary process complexity compounded time and labor burdens associated with RMAs.
Meanwhile, at the warehouse locations, many asset lockers held damaged or broken devices and since locations didn’t have spare pools, employees often had to exchange nonfunctioning devices with working ones.
The time-consuming device check-out processes often led to workers simply leaving devices checked in and on the work floor—so check-out and usage information wasn’t accurate, and devices were not returned and recharged appropriately.
All together, tedious processes wasted employee time and reduced overall productivity at every location, and prevented corporate IT from being as effective as it needed to be.
Barcoding helped the customer implement our IntelliTrack® solution and IT Assets bundle, an enterprise platform made to streamline tracking and drive excellence around assets, contracts, and inventory. With IntelliTrack, corporate IT has constant, real-time access to RMAs at location and corporate levels, and device replenishment needs are trackable by device purchase dates and/or service contract terms. The customer established trackable device spare pools at every warehouse location.
The customer also opted to add VeriMyTM with its assignee feature to make device check-outs fast and easy, and eliminate the dreaded clipboards and automate check-ins. Now, device check-ins are automated—all employees need to do is place devices back on device locker chargers and they’re automatically checked back in.
With accurate visibility into IT asset inventory, including location and status of every device, corporate teams are able to ensure all locations are properly equipped with working, up-to-date devices. And they actually reduced time and costs associated with asset inventory replenishment while achieving better outcomes.
Plus, now RMAs are easy to enter and track all in a single location, saving even more time.
Out in the warehouses, devices are no longer left checked out on the work floor at the end of a shift. Instead they’re returned, checked back in, and charged as intended.
